This Privacy Policy explains how we collect, use, disclose, and protect personal information through our website, our integrated Odoo ERP system, and associated marketing platforms.

We collect personal and business information that is reasonably necessary to provide our products and services, manage relationships, and improve customer experience. This may include:

Information you provide directly:

  • Name, company name, job title, and contact details (email address, phone number).

  • Enquiry or RFQ (Request for Quote) details submitted via our website forms.

  • Shipping and billing information for orders.

  • Account details if you register for a customer portal.

Information collected automatically:

  • IP address, browser type, and operating system.

  • Pages visited, time spent on the site, and referring links.

  • Cookies and analytics data (see Section 7).

Information from third parties:

  • Verified business contact data from online platforms 

  • Equipment and company data from verified public databases used for legitimate business segmentation and marketing.


We use personal information to:

  • Process and respond to enquiries and RFQs through our Odoo ERP system.

  • Manage quotes, orders, deliveries, and customer support.

  • Improve our products, services, and website functionality.

  • Send relevant product updates, offers, or technical bulletins (you can unsubscribe anytime).

  • Analyse engagement and optimise marketing campaigns through Odoo CRM and Marketing Automation.

  • Meet legal, accounting, or regulatory obligations.

We do not sell personal information under any circumstances.



Our website and customer management systems are built on Odoo Enterprise, hosted on secure Australian or EU-based servers (depending on configuration).

  • All RFQ and contact form submissions are securely transmitted and stored within the Odoo database.

  • Access to customer data is restricted to authorised EquipMining personnel using multi-factor authentication.

  • Data is backed up regularly and encrypted in transit (SSL/TLS) and at rest.

  • Odoo modules may process limited personal data for workflows such as CRM, quotation generation, order fulfilment, and invoicing.

We maintain administrative, physical, and technical safeguards to protect data integrity, confidentiality, and availability in line with ISO/IEC 27001 security principles.

We retain personal and business data only for as long as required for operational, legal, or accounting purposes.

Inactive RFQs and customer records may be archived within Odoo but remain subject to security controls.

Data can be deleted or anonymised upon written request, subject to any recordkeeping requirements under Australian law.





Under the Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you.

  • Request correction of inaccurate or outdated information.

  • Withdraw consent to direct marketing communications.

  • Complain if you believe we have breached your privacy.

Requests can be submitted via email to privacy@equipmining.com.au.

We will respond within 30 days in accordance with the APPs.


Our website uses cookies and tracking technologies to improve functionality and measure traffic.

This includes:

  • Session cookies to maintain navigation and form data.

  • Google Analytics to monitor aggregate site performance.

  • Digital  tools to identify visiting organisations (not individuals) for legitimate B2B marketing.

We maintain robust technical and procedural safeguards to protect personal information from misuse, interference, loss, and unauthorised access.

  • Role-based user permissions in Odoo.

  • Regular security updates and encrypted connections (HTTPS).
